Setting up your merge fields

Letter

Acceptable format

  • Preferred: Ms Word, 2000 and higher – FREE setup
PDF file requirements
  • You cannot have merge fields that are being inserted anywhere inside the body of your letter. For instance, you cannot have a loan amount inserted in a sentence. An acceptable situation would be to have the addressee’s information printed on the top left area, a date on top or a reference number printed by itself. In other words, you cannot have any non-changing text before or after the merge fields. (see diagram below)
  • Word Perfect or simple text – a nominal setup charge will apply
  • Faxed or mailed – a nominal setup charge will apply

 



Fonts: 

  • We do not change the size of your font. Please pay close attention to your PDF proof (we email to you after setting up your mail piece) to insure that your fonts have not changed. You may need to supply us with your font file, if you are using special/uncommon fonts; or you can send us your letter in PDF format (see above).

Margins:

  • We do not change your margins.

Letterhead / graphics / artwork / signature: 

  • Any and all of these items must be embedded in your letter so your setup will be free. Note that we do NOT alter, adjust or correct any of such elements in your letter. We can certainly make any adjustments to these elements at your request for a nominal fee.

Proof reading:

  • We do not proof read your material for spelling and grammatical errors.





 

How to setup your merge fields:

Indicate the placement of your merge fields from your mailing list in your letter or envelope using “double brackets”.  For instance, <<first>> indicates where you want to insert the field with title/header “first” from your mailing list. Make sure that the field name you use inside the brackets is identical to the header (1st row) in your mailing list.









Header names we recommend for typical fields. You many have many additional fields; use titles that make sense.

Please insure that all materials are finalized before submition to graphics department for proof production. if you require changes that are not due to our error, for instance making changes to wording, additions or deletions, there will be a minimum of $30 fee to reproduce your proofs.
